We got the worlds leading psychotherapists, business analysts and economists locked in a room to come up with the most accurate list of questions that would allow us to rate your business processes and provide you with a psychoanalysis of your business. However, we left a window open and they all escaped so we took a stab at it ourselves…
1. If you need to access client information will you
Have information to hand Have information within a few minutes Have to find the file first – I’ll will get back to you!  


2. If you are out of the office but need to know if important correspondence came in today – how quickly can you find out?
Immediately If I can get hold of your secretary she will know I will have to check when I get back to the office.  


3. If your secretary is on sick leave would you know where to locate information yourself ?
Of course I would have an idea but it might take a bit of time to locate Wouldn’t have a clue  


4. If you have a new recruit or temp – how long will it take for them to familiarise themselves with your processes?
Pretty quickly, our processes are clear and easy to follow It will take a few weeks for them to be up to speed What processes?  


5. Do you ever have a 3am ‘Oh My God’ moment when you remember a crucial issue on a file in the middle of the night?
Never happens – I have systems to ensure that! It doesn’t happen often but it is stressful when it does Most of the time is an ‘Oh my God’ moment. I can’t remember everything!  


6. Do you have to watch staff carefully to measure their performance?
No, I am confident I can report accurately on my staff and discuss their performance with them Sometimes it is a problem trying to see who typed a letter – but the hardcopy of the document will indicate that I’m out of the office a lot. It’s hard to keep track of who’s doing what. I need to rely on my staff or do it myself  


7. Carrying a heavy case load, it can be difficult to stay on top of all files, do you fret things are getting forgotten about?
Yes, you have a mechanism to alert you Some things slip through the cracks It’s a constant worry!  


8. Are you billing all the hours you should be?
All present and accounted for Mostly – but it could always be better I have to work a lot more hours then I bill.  


9. Are you confident you are getting the most efficient return from your administrative staff
Definitely, they all contribute to the efficient running of the office Mostly, it’s hard to be sure Your gut feeling says no!  


10. Is it a worry that if your premises burned down tonight – would you still have a business tomorrow?
Yes, my data is stored electronically – and backed up off site. Just give me a new desk! My files would be gone but I have some files electronically backed up I have buildings insurance?  


11. When your files are audited for compliance are you worried?
No – you know you have it covered You hope you can steer them to the right files to check It’s a nightmare – there’s a lot of overtime!  


12. How easy would it be for you to find your clients current address?
No problem there is a central, up to date address book It is not always easy to find this Would have to find the latest file for that client
