FreshStart
If your data is old and out of date, this is an excellent way for you to start with new accounting data. We convert your client and matter details, and you then start fresh with clean and verified balances.
Looking to convert from ITALAX, Harvet Law, LEX, Keyhouse (SAM), Opsis, BCL, Safelaw, Alpha Law why not contact a colleague who has converted to eXpd8 Accounts. Let them tell you how they saved money and took control of their accounts!
Set a close off period for the previous system, this date is very important; the recommended dates are at the end of a reconciled month, half year or at year end.
Once this date is set no further entries should be made to the legacy accounting system.
Ensure that the selected period is closed off and reconciled, all journals are entered, all creditors invoices, debtors invoices and both office and client cheques and lodgements are posted. This date will be the date that you will use to post your balance forward transactions to eXpd8 Accounts.
Print the following report from the legacy system at the selected changeover date.
1. Client matter listing, showing all client matter listing balances for both the office and client account.
2. Aged Debtors Report.
3. Aged Creditors Report.
4. All outstanding un-reconciled items from all banks.
5. Trial Balance – this can sometimes be your Accountants Formatted Balance Sheet, if in doubt speak with your accountants.
6. Bank Statements from Banking Online or original statements.
Changing accountancy software is an ideal time to have a “fresh start” with your accounting information.
Consider looking at your current chart of accounts, is there something in here that you would like to change? Ask yourself what information would you like to see from your Profit and Loss account, how would you like the office expenses categorise? Would you like to get better information on your Annual Drawings? Consider breaking them into categories. If you pay out life insurance or other insurance policies consider breaking them into relevant categories. This will help guide you as to how you are spending. Speak with your accountant and ask for their advice and guidance. Small changes in your chart of accounts might also benefit your year-end auditor too!
Look at small stale balances in the office and client account. Ask yourself, is the file closed? Why is there a balance on that particular account? Is the outlay recorded on the account recoverable or not? Consider writing off stale items. If in doubt, you should always speak with you accountants.
