The new look eXpd8 Organiser includes a familiar layout – with appointments being the prominent display and Alarms, Phone messages and Tasks being available to the right as options.
Notice how the orange line between these two areas is movable, the user may position this line as required giving greater or lesser display area to appointments, the screen will retain a memory to this changed setting.
Also notice that this page is resizable, this will be a feature of each new module released.
Click the ‘Display Calendar for’ to select another users Calendar to view.
By default the ‘Day View’ of the calendar is displayed – however ‘Week View’, ‘Month View’ or ‘Agenda’ can be selected, ‘Agenda’ displays appointments for the next 10 days.
note:At this point the diary does not include a ‘Grid View’ where by the day would be displayed in half hour time frames – this will be included in a future release.
To Create An Appointment;
Click the ‘Create new appointment’ button on the top tool bar. The new ‘Display Appointment’ window will be displayed. By default the date and start time will be the current date and time, manually adjust as required
Notice the ‘Expander’ adjacent to the ‘Link to a case’ label. These expanders will become a regular feature of each new eXpd8 module released. Type in the name of the file required. Notice the search can be further refined with ‘Category’ ‘Owner’ & ‘Status’ fields.
Inviting Attendees;
Single clicking on the ‘Appointment Attendees’ expander, provides the user with a options for search criteria (Name & or Company) and ‘Staff, Clients or Contacts’.
When attendees have been invited click ‘save’ on the top tool bar to retain the appointment.
The attendee, will receive an email advising them that they have been invited to a meeting. By clicking the ‘Accept’ ‘Tentative’ or ‘Reject’ options within the mail the appropriate response is sent to the ‘Inviter’ and if the appointment is accepted this will be included in the users Calendar.
This functionality although new to eXpd8 Diary is standard in most electronic diaries and ensures that appointments are not added to the diary without the knowledge of the invited party.
